New Site/ Director Onboarding

Welcome to HOPE Literacy!  We are excited to have you on our team.  We are dedicated to providing you with the support you need to start and sustain a successful ESL or adult education program at your church or ministry.

HOPE Literacy is a parachurch organization that believes in the authority of Christ, Scripture, and the local church.  We do not consider ourselves a governing body, but exist to come alongside the local church.  Contact Joy at jwesteen@hopeliteracy.com if you need any assistance with these steps.

Here you will find an onboarding map, including steps to coming on board and where to find the resources.

Step 1: Access our resource page

You're here! Please explore the members page and share the setup guide with your teachers.

Step 2: Learn more about Hope Literacy

Please visit the About page to learn more about our ministry and values.  You can also learn more about the services we provide sites like yours  on the Become a HOPE site page.

Please also let your volunteers know about HOPE Literacy and your partnership with us.  Share the printable handout with your volunteers.

Step 3: Schedule a TELL training for your site

We partner with the North American Mission Board of the Southern Baptist Convention to provide basic training for directors starting a site and for new teachers, called TELL (Teaching English Language Learners).  It was created under two subsections of the NAMB - Send Relief and the National Literacy Missions Partnership.  You can learn more about it and additional training here.  Email Harry to set up a training for your site with one of our training coordinators, Patti Oefelein or Jay Ladine.  Alternatively, you and your teachers may complete   TECs training with our partner organization, Literacy Connexus. You can learn more about the TELL training on our training page.

Step 4: Prepare your website listing

As a HOPE site member, we offer free advertisement on our website.  Email Joy with the following information:

  • Church or program name

  • Location of classes

  • Director or main contact person

  • Contact information or how to register

  • A photo of your site (that will aid students in knowing where to go)

  • Subjects & Levels you offer

  • Fees?

  • Do you provide childcare?

  • Information for an English Bible study at your church, if you offer one

Step 5: Email your team contact information

This information will be used to to sign volunteers up to our email newsletter and to communicate with them about events.  It is not shared beyond those purposes. Please make sure your volunteers know who we are and that we have permission to contact them.  It is also very important to provide us with an updated list every year.  We ask tht your provide all information as multiple points of contacts makes it more likely that our communications reach volunteers.

Please provide for each volunteer:

  • Email

  • Physical address

  • Phone number

Step 6: Data tracking

We ask for certain data points from each of our sites to share and to be accountable to our board, donors, and with our sites.  The following information is collected once a quarter:

  • Average weekly attendance

  • Total enrollment (cumulative from start of academic year)

  • Testimonies (gospel presentations, salvations, people joining the church, stories of the community helping one another, student success stories, etc.)

A weekly data tracker is used to capture this information.  Joy will send the links to the tracker (a Google form) at the start of the academic year.  Instructions are included in the tracker.  Data tracking periods are as follows:

  • July-September

  • October-December

  • January-March

  • April-June

Data will be collected from the forms after the close of the quarter.  If you do not use the form (i.e., your site is small), your data is due two weeks after the close of the quarter.

Step 7: Mark your calendar with important dates

Check our events page for detailed information, or download a complete printable list of events.  Yearly events:

  • Director's Prayer Breakfasts- once a quarter on the third Saturday. Evites sent one month prior

  • Metroplex Literacy Conference.  First Saturday of March each year

  • Volunteer Appreciation Dinner - last Friday in April (just before the close of the Spring semester)

  • Teacher Mixer - Prior to the start of the Fall semester
